Practical AI tools your team can actually use
Fennico sets up structured AI workflows for Malaysian businesses — from meeting note pipelines to customer record normalisation. No vague demos. Each engagement has a fixed scope, a clear timeline and a handover your team can operate without us.
Based in Shah Alam — serving clients across the Klang Valley and beyond
Who we are
Fennico was set up in Shah Alam in early 2024 by a small group of people who had spent years doing project and operations work inside large organisations. The pattern we kept seeing: teams spending disproportionate time on things that could be structured — summarising meetings, cleaning up old contact lists, writing down how staff should handle certain tools — but weren't, because nobody had the time or the mandate to build the process properly.
We work on a fixed-scope, fixed-week basis. A typical engagement is between two and nine weeks depending on what's being set up. We don't sell retainers or ongoing maintenance contracts. When the engagement ends, the client has documentation, trained staff and working systems. That's the whole point.

Three areas of work
Each focuses on a different part of the documentation and process burden that builds up when language tools enter a workplace without a plan.
Meeting Documentation
Recording-to-summary workflows with participant consent built in. Structured output reviewed by a chair before it leaves the room.

CRM Record Cleanup
Normalising names, addresses and company entries in a client database — with every proposed change staged for human approval before anything is written.

Internal AI Guidelines
Facilitated drafting of a company's own written rules for how staff may use language tools — what goes in, what gets reviewed, who signs off by department.
Find out more →What tends to go wrong without a plan
These are the conditions we most often find when a new client comes to us. Not failures — just the natural friction of adding tools without adding process.
Meeting outputs that sit unread
Auto-generated summaries are shared without a review step. Recipients learn to ignore them. The tool gets switched off after three months.
Duplicate records that multiply
A CRM that started with 800 clean entries now holds 3,400 rows across four merged systems. Sales staff work around it manually, which makes it worse.
Staff using tools without agreed boundaries
Nobody has written down what may or may not go into a language model. Different departments make different calls. HR and legal end up involved later, not earlier.
Consent built into the start of every meeting
Before a recording workflow runs, every participant gets a prompt. This isn't a checkbox — it's a configured step in the tool that cannot be skipped by the host. We write the consent language, configure the timing and document the retention period that applies for your organisation.
Ask about thisEvery proposed change waits for a human to approve it
When we run a record cleanup, the language model proposes changes into a staging layer. A member of your team reviews each batch before anything touches the live database. We build the staging interface, write the approval procedure and keep a rollback point active throughout.

A written policy your team helped write
We run a stakeholder round with representatives from each department before a word goes on paper. The final document reflects real scenarios from your organisation, not generic templates. A one-page staff summary and a per-department awareness session come with every engagement.
Ask about thisWhat you can expect from an engagement
We're not a software vendor and we're not a consultancy that produces slide decks. The deliverables are working systems, written procedures and staff who know how to use them.
Fixed scope
Every engagement has a written scope document agreed before work starts. No scope creep billed as extras.
Defined timeline
Engagements run two to nine weeks. You know the end date before the first session.
Human approval at every step
Nothing goes live until your staff have reviewed it. We build the review step into the process, not around it.
Full handover documentation
Every engagement ends with written procedures your team can maintain without us. No dependency on Fennico after the exit.
Three things we hold to
Documentation over assumptions
If a process isn't written down, it's a guess. We put working procedures on paper as part of every engagement, not as an afterthought.
People review before anything ships
Automated outputs are not the same as reviewed outputs. We build explicit review steps into every system we configure.
Scope agreed before the first session
We discuss scope thoroughly before anything starts. Surprises on the final invoice are not part of how we operate.
Three current engagements
Each is a fixed-scope project with a defined deliverable set. All prices in Malaysian Ringgit.
Meeting Notes and Summary Tooling
Setup of a recording-to-summary workflow with explicit consent prompts for every participant. Produces structured notes, action items and owners that a chairperson reviews before circulation. Suited to teams holding four or more recurring meetings weekly.
- Tool configuration + consent procedure
- Summary templates by meeting type
- Integration with existing document store
- Chair's checklist + two calibration rounds
Customer Record Cleanup
A structured cleanup of a client relationship database using language models to normalise names, addresses and company entries. Every proposed change is staged for human approval — nothing is written directly to the live database.
- Profiling + duplicate detection
- Malaysian address and company formats
- Staged approval interface + rollback
- Data quality report before and after
Internal Usage Guideline Development
Facilitated development of a company's written rules for how staff may use language tools at work. Covers what may be entered, what must be reviewed, how outputs are recorded and who signs off by department. Policy drafting support — the client's own advisers make the final determination.
- Stakeholder round + two revision cycles
- One-page staff summary per department
- Awareness session per department
- Review calendar for the following year
How an engagement runs
Scope call
We talk through what you're dealing with — the volume of meetings, the state of the database, the departments involved. No commitment at this stage. We write a scope document and send it for review.
Agree and start
Once the scope is agreed and signed off, we schedule the first working session. For most engagements, this is within a week of agreement. We bring the tools; you bring access to the systems we'll be configuring.
Handover and close
The final session is a structured handover. We walk the relevant staff through what was built, hand over all documentation and confirm the rollback or review procedures are understood. The engagement is then closed.
What people have said
The meeting summary setup took about 16 days start to finish. Our project coordinators stopped spending an hour after every stand-up rewriting notes. That was the practical outcome we needed.
The record cleanup was slower than I expected but the staged approval process meant I could trust what went into the live CRM. We went from roughly 4,200 rows down to 1,150 clean, verified entries. Good work.
We needed a policy that our legal team could sign off on without us having to explain what a language model is from first principles. Fennico's facilitation process made that conversation much easier than I expected.
